Statement of Work: Create Editable SOW Drafts
Overview
Statement of Work mode turns selected Spotto recommendations into a draft delivery document. Use it to turn real backlog evidence into a scoped proposal.
The generated document is a draft. Pricing, legal terms, dates, and customer approvals still need human review.
Where to find it
In the Spotto Portal, open a company and go to Generate -> Statement of Work.
What controls the SOW
The SOW is built from the recommendations you select.
Subscription selection controls which recommendation scopes are loaded. It does not automatically include every subscription metric in the document.
For parent/child structures, choose the client company first so the recommendation list loads from the right customer scope.
Recommendation selection
Use filters to narrow the backlog, then select the recommendations that belong in the engagement.
Only selected recommendations are included in the SOW. If the draft looks smaller than expected, go back and check the selected items.
The selector presents durable Team board lanes first and keeps them usable while generated priority data is loading or unavailable. System tracks from Highest-impact priorities appear afterward as independently collapsible groups. Each system track includes its eligible durable active work and the same bounded set of up to five untouched candidates shown on the Kanban Board. Select an entire group or choose individual cards.
Using Export to SOW from a Team board lane or system track opens this selector with the eligible cards from that row preselected. Recommendation-level and resource-level system cards keep their distinct scope during selection. If several cards share recommendation wording but name different resources, each remains a separately selectable resource scope. A recommendation-level card remains one selection with its combined affected-resource scope. Selection follows that durable item or recommendation/resource scope rather than the card's current rank, so refreshing generated priorities does not silently switch a selection to a different card or duplicate it.
The selector applies the same eligibility rules as the Kanban Board. Dismissed candidates, Completed work, work already represented by a durable card, and exact matching external tickets are not added again as untouched candidates. If a candidate becomes ineligible, the next eligible candidate can backfill the same five-card window.
Usable Team lanes and system groups remain actionable when another generated scope is unavailable; Spotto does not add a generic partial warning to every usable group. If no trustworthy generated candidates are available, the empty or unavailable system result is kept distinct from a healthy empty result. When Highest-impact priorities is disabled, system candidates and groups are unavailable, but durable Team board work remains selectable for the SOW.
How Spotto builds the draft
Spotto groups selected recommendations into delivery packages and creates sections for scope, objectives, work packages, work items, dependencies, assumptions, exclusions, acceptance criteria, and recommendation traceability.
These sections are generated from recommendation data and affected resources. They should be treated as a starting point for delivery scoping, not the final commercial agreement.
Output options
Default Layout creates a Spotto-formatted Word document.
Company Template lets you upload a .docx template. Spotto keeps the template structure and places grounded SOW content where it fits. Review placement before sending.
Preview and export
The preview is editable. Coach suggestions and paragraph edits are applied to the exported .docx when they can be mapped safely back to the Word document.
Review before sending
Check:
- Selected recommendations match the intended engagement.
- Work packages make sense for delivery sequencing.
- Effort and savings estimates match your commercial process.
- Assumptions, exclusions, and client responsibilities are correct.
- Traceability links the proposed work back to Spotto recommendations.
Troubleshooting
No prioritized recommendations are available
What you're seeing: The page shows no recommendations for the selected subscriptions.
Likely cause: The selected company or subscriptions have no available Team board work or system-track candidates, or the recommendation query failed.
How to fix: Confirm the company and subscription scope, widen the selection, then retry loading recommendations.
Team work appears but system groups do not
What you're seeing: Durable Team board lanes are available, but one or all Highest-impact priority groups are missing.
Likely causes:
- Generated priority data is still loading, incomplete, or temporarily unavailable for a selected subscription.
- No untouched candidates are eligible for that track after dismissal, durable workflow, Completed, and external-ticket ownership are applied.
- Highest-impact priorities is not enabled in the current environment.
How to fix:
- Continue with eligible Team board work if it covers the engagement; generated priority loading does not block durable selection.
- Confirm the company and subscription scope, then retry after the latest scan completes if generated candidates are required.
- Use Recommendations for broader discovery and the Kanban Board to review current ownership.
The SOW includes fewer items than expected
What you're seeing: The draft scope is smaller than the visible backlog.
Likely causes:
- Only selected recommendations are included.
- The untouched portion of each system track is the same top-five candidate set visible on the Kanban Board; the selector does not expose the larger generated buffer. Eligible durable active work can also appear in that system-track group.
- A dismissed, completed, durably owned, or externally ticketed scope is not repeated as an untouched candidate. Another eligible card may have backfilled its position.
How to fix: Return to Select Recommendations, expand the relevant Team board lane or system track, clear filters if needed, select the missing items, and regenerate. Use Recommendations for broader discovery before adding work to the Kanban Board.
If priorities refreshed while you were selecting, review the logical recommendation or resource scope rather than its position in the group. Existing selections remain attached to the same work; they do not move to a newly ranked card.
Template output needs cleanup
What you're seeing: Content appears in the right document but needs wording or placement changes.
Likely cause: Uploaded templates vary, so Spotto uses placement suggestions instead of assuming a fixed structure.
How to fix: Accept useful coach suggestions, edit the preview directly, then export the reviewed .docx.
