Statement of Work: Create Editable SOW Drafts

Overview

Statement of Work mode turns selected Spotto recommendations into a draft delivery document. Use it to turn real backlog evidence into a scoped proposal.

The generated document is a draft. Pricing, legal terms, dates, and customer approvals still need human review.

Where to find it

In the Spotto Portal, open a company and go to Generate -> Statement of Work.

What controls the SOW

The SOW is built from the recommendations you select.

Subscription selection controls which recommendation scopes are loaded. It does not automatically include every subscription metric in the document.

For parent/child structures, choose the client company first so the recommendation list loads from the right customer scope.

Recommendation selection

Use filters to narrow the backlog, then select the recommendations that belong in the engagement.

Only selected recommendations are included in the SOW. If the draft looks smaller than expected, go back and check the selected items.

How Spotto builds the draft

Spotto groups selected recommendations into delivery packages and creates sections for scope, objectives, work packages, work items, dependencies, assumptions, exclusions, acceptance criteria, and recommendation traceability.

These sections are generated from recommendation data and affected resources. They should be treated as a starting point for delivery scoping, not the final commercial agreement.

Output options

Default Layout creates a Spotto-formatted Word document.

Company Template lets you upload a .docx template. Spotto keeps the template structure and places grounded SOW content where it fits. Review placement before sending.

Preview and export

The preview is editable. Coach suggestions and paragraph edits are applied to the exported .docx when they can be mapped safely back to the Word document.

Review before sending

Check:

  • Selected recommendations match the intended engagement.
  • Work packages make sense for delivery sequencing.
  • Effort and savings estimates match your commercial process.
  • Assumptions, exclusions, and client responsibilities are correct.
  • Traceability links the proposed work back to Spotto recommendations.

Troubleshooting

No prioritized recommendations are available

What you're seeing: The page shows no recommendations for the selected subscriptions.

Likely cause: The selected company or subscriptions have no available prioritized backlog, or the recommendation query failed.

How to fix: Confirm the company and subscription scope, widen the selection, then retry loading recommendations.

The SOW includes fewer items than expected

What you're seeing: The draft scope is smaller than the visible backlog.

Likely cause: Only selected recommendations are included.

How to fix: Return to Select Recommendations, clear filters if needed, select the missing items, and regenerate.

Template output needs cleanup

What you're seeing: Content appears in the right document but needs wording or placement changes.

Likely cause: Uploaded templates vary, so Spotto uses placement suggestions instead of assuming a fixed structure.

How to fix: Accept useful coach suggestions, edit the preview directly, then export the reviewed .docx.
