Spotto Reporting: Create Editable SDM Reports
Overview
Reporting creates SDM report drafts from the data already connected to Spotto. Use it when you need a customer-ready summary of cost, recommendations, posture, activity, risks, and next actions.
The UI handles the workflow. This page explains the parts worth checking before you export.
Where to find it
In the Spotto Portal, open a company and go to Generate -> Reporting.
What controls the report
The report is scoped by:
- Company: for parent/child structures, choose the client company first.
- Subscriptions: unselected subscriptions are excluded from report figures.
- Report period: ticket activity, alerts, billing commentary, and period-specific statements use this window.
Billing coverage matters
Cost sections only use subscriptions with billing data for the selected period.
If some selected subscriptions do not have billing data yet, Spotto can still include posture, recommendations, backlog, and activity for the full selected scope. Commercial sections narrow to the subscriptions with usable billing evidence.
Check the billing coverage notice before export.
Data used
Spotto uses whichever connected signals are available for the selected scope, including recommendations, billing metadata, secure score history, review checklists, cost alerts, service retirements, commitments planning, tickets, and company objectives.
If a signal is missing, the report should show a gap instead of making a claim. That is intentional.
Output options
Default Layout creates a Spotto-formatted Word document.
Company Template lets you upload a .docx template. Spotto keeps the template structure and uses grounded Spotto data where it fits. Review placement before sending.
Preview and export
The preview is editable. Coach suggestions and paragraph edits are applied to the exported .docx when they can be mapped safely back to the Word document.
Review before sending
Check:
- Scope is the right company, subscriptions, and period.
- Billing coverage matches the commercial story you want to tell.
- Data gaps are acceptable.
- Customer-specific wording, commitments, dates, and next actions are correct.
- Ticket activity reflects only visible PSA data for the selected period.
Troubleshooting
The report says data is pending
What you're seeing: A partial-data warning appears in the preview.
Likely cause: One or more source queries did not finish before generation timed out.
How to fix: Wait for the named signals to load, then generate the report again.
Cost sections cover fewer subscriptions than selected
What you're seeing: Cost commentary covers fewer subscriptions than you selected.
Likely cause: Some selected subscriptions do not have billing data for the selected period.
How to fix: Check the billing coverage notice, change the period, or wait for billing data to complete.
An edit is missing from export
What you're seeing: A preview edit is missing from the exported Word document.
Likely cause: The edit changed the preview structure enough that Spotto could not map it safely back to the Word document.
How to fix: Keep edits to existing body paragraphs where possible, then export again.
